Cancellation policy

In case of cancelation of your booking,a cancellation fee will be charged according to the calculation formula below.
Cancellation rate (%) =(Cancellation offering date-booking offer date)/(Booking date-booking offer date)× 100

*If the cancellation rate is less than 30%, no cancellation fee. Cancellation rate is rounded 10%.
*The cancellation date will be calculated from the date of receipt by our company (weekdays after 17:00 and holidays will be received as the next business day)
*If the booking is canceled after being changed from original book, the first booking offer date will be counted as the booking date starting date.
*After the cancellation, refunds or offsets are not refused even if it is unavoidable.

1.Booking

Please check the vacancy from the meeting room calendar and contact us  using the inquiry form.

2.Submission of terms of use

In case of the first time using, please fill out the necessary information in the Terms of Service. Please return the terms of service and identification card (Copy of passport) by email or Inquiry form.

3.Information of the completion of your booking.

Your booking will be completed from our reply.

4.Payment and using of the meeting room.

Payment will be done by cash or credit card at the reception on the 4th floor 5 minutes before the start of use on the day.

*Please refrain from entering the room before the scheduled time.

Precautions for use the meeting room

Caution

  • If you would like to make a tentative booking, please contact us by phone.
  • Booking can be made from two months in advance of the date of use.
  • If you wish to make a booking more than 2 months in advance, cancellation or changes are not acceptable.In case of the cancellation, 100% cancellation fee will be charged.
  • Booking changes is available only once.
  • If you cancel your booking, a cancellation fee will be charged according to the Cancellation policy.
  • The using time is from enter the room until leave the room.
    *Please refrain from entering the room before the scheduled time.
  • Users shall complete preparations and restoration work during using time. 
  • (Cannot be extended if there is another reservation.)
  • Preparation or returning facilities to their original position shall be done while using time.
  • If the next booking is already made by other customer, the time extention is not acceptable.
  • Minimum usage time is 1 hour to 30 minute increments.
  • The usage starting time is “00 minutes” or “30 minutes”.
  • Please be informed us in advance when you upload our infomation, facilities, etc., in your website.
  • If you did it without permission, it will be a violation of the terms and conditions and legal action may be taken.      
  • Smoking (including e-cigarettes, etc.) and alcohol are prohibited.
  • No car parking space in our building, but paid parking space is located in next to our buiding.

Terms of services

Offer for booking
  • Booking is offered by email or inquiry form.
  • After booking, please fill in the necessary information on the application form and send it by email (first time only).
Payment
  • Payment will be done by bank transfer or at the accounting counter on the 4th floor.
  • Credit card is avilable to use.
  • Please make the transfer at least 3 days before the date of use. The transfer fee shall be paid by cutomer.
Restrictions on purpose of use
  • Even after receiving your booking, and using the meeting room, if we determine that the use is inappropriate, we may cancel your booking or suspend your use of it.
  • In that case, the usage fee shall not be refunded. Furthermore, we shall not be held responsible for any damages incurred by the user as a result of cancellation.
Precautions for use the meeting room
  • Please strictly adhere to the usage hours (including preparation and clean-up, etc.). In particular, please refrain from entering the room early.
  • Please follow the instructions of the staff when using the meeting rooms. If you do not follow the instructions and it appears that you are causing inconvenience or damage to other users, you will be prohibited from using it.
  • Posting notices on the walls or doors, soliciting or brokering, etc. is prohibited. If you would like to temporarily display, please contact us in advance.
  • Alcohol and smoking are prohibited. 
  • The use of fire, bringing in hazardous materials, playing musical instruments, and pets are prohibited.
  • We do not take any responsiblity for any damage caused by the use of the Internet or other facilities.
  • Users shall take responsiblity for managing fire and crime prevention while using the meeting room.  In the unlikely event that there is an accident such as theft, we will not be held responsible.
  • After using the meeting room, please return it to its original condition and clean up after yourself.
  • If you produce more than 45L of combustible garbage, please pay the actual cost of a garbage disposal ticket designated by Ota City of 391yen (tax exempt) for each bag.
Disclaimer/compensation for damages, etc.
  • Please note that we are not responsible for any theft, loss, or personal injury while using the meeting room. Parents or operators shall take responsiblity for ensuring safety, especially when children are using the facility.
  • If a user contaminates or damages the facility or attached equipment while using the facility, the user may be required to pay compensation for damages.
  • In the unlikely event that the meeting room or facility is unavailable due to our responsibility, the maximum compensation will be limited to the usage amount on that day, and we will not be responsible for providing alternative facilities or secondary damages.
